Real Estate Management Company is seeking a dynamic and organized individual to join our team as a Facilities Coordinator. This role is pivotal in supporting the efficient functioning of our managed facilities in remote Alaska as ensuring a safe, comfortable, and productive environment for employees and visitors. The Facilities Coordinator will collaborate closely with the Rural Management Team to assist in the daily operations, coordinate maintenance activities, schedule travel, and implement strategic initiatives to enhance facility management. Possible travel to via small aircraft and overnights in remote Alaska villages with bonus incentives.
Requirements
Education in Facilities Management, Business Administration, or related field.
Proven experience in facilities management or a similar role preferred.
Flexibility to work on-call or overtime, as needed.
Strong organizational, multitasking, communication, and interpersonal abilities.
Familiarity with relevant health and safety regulations.
Proficient in using facility management software and Microsoft Office Suite.
Problem-solving mindset and ability to work well under pressure.

Responsibilities:
Facility Operations:
Assist in the day-to-day operations of several facilities, including building maintenance, facility systems, and janitorial services.
Communicate with onsite employees regarding maintenance and janitorial tasks.
Coordinate regular inspections of facilities to identify maintenance needs and address them promptly, including potential hazards and safety concerns.
Monitor and respond promptly to facility-related issues and emergencies.
Track reactive and preventative maintenance to completion, including follow up.
Order materials and supplies. Coordinate packaging and tracking of shipped items.
Maintain accurate records of facility-related activities and expenses, including maintenance logs, service contracts, and inventories.
Collaborate with external vendors and contractors to ensure quality services and cost-effectiveness.
Obtain and evaluate quotes for facility-related services with preferred vendors.
Coordinate contractor activities, ensuring compliance with company policies and safety standards.
Coordinate building inspections and emergency response procedures and training for facility occupants.
Coordinate intricate travel between multiple airlines, hotels, vehicle rentals.
After-hours work required for emergencies.
Provide back-up to Facilities Manager during absences or as needed with service calls and follow-up.
Provide assistances to Human Resources on communication with remote employees.
Other duties as assigned.
Security and Safety:
Aid in the implementation and maintaining of security protocols to ensure the safety and security of the facility, employees, and visitors. Assist in overseeing the maintenance of security systems, fire alarms and access control systems.
Participate in the implementation of emergency preparedness plans and procedures, including evacuation plans, first aid protocols, and crisis management strategies.
Respond to building emergency calls on rotation.
After-hours work required for emergencies.
Budgeting and Financial Management:
Review facility team time tracking and material purchases and schedules.
Review and input details on vendor invoices for approvals.
Assist in the development and monitoring of the facility budget, including forecasting expenses, monitoring costs, and ensuring budget compliance.
Identify cost-saving opportunities without compromising the quality of services.
Prepare regular reports on budget performance and variance analysis.
